An investment property calculator for rental listings

Investors decide in minutes whether a listing is worth a look, and they do it with three numbers: cash flow, cap rate and cash-on-cash return. This investment property ROI calculator for agents works them out from price, financing, rent, expenses and vacancy. On a duplex, small multifamily or single-family rental listing, it shows investors that you speak their language, and it captures them as leads.

How do investors evaluate a rental property?

Most start with cash flow (rent minus expenses, vacancy and the mortgage), cap rate (net operating income divided by price) and cash-on-cash return (annual cash flow divided by cash invested). Together they show whether a property pays its way, how it compares with others, and what the investor's cash earns.

When you'd send it

When to put the Investment Property ROI Calculator in front of people

On multifamily and rental listings

Pre-fill the price, current rents and expenses from the listing data, and investors can test their own financing. It saves them a spreadsheet and keeps them on your page.

When investors ask for 'the numbers'

Instead of emailing a static pro forma, send a link to the calculator with the property's figures. Investors can change assumptions, and their scenario comes back to you.

In your investor newsletter

Feature one property a month with the calculator pre-filled. Investors who rerun it with their own assumptions show you what they're looking for.

What your visitor sees

The investor enters the purchase price, down payment, closing and rehab costs, rate, term, monthly rent, monthly expenses and vacancy rate. They see monthly and annual cash flow, cash-on-cash return, cap rate, the mortgage payment (P&I), annual net operating income and total cash invested.

The lead you receive

An investor's assumptions, and the returns they need

You'll receive the Purchase Price, Down Payment, rents and expenses they assumed, plus Monthly Cash Flow, Cash-on-Cash Return, Cap Rate and Net Operating Income (Annual). Their assumptions tell you their buy box: the down payment they use, the vacancy they plan for and the return they're after.

Follow-up that works

  • Note their implied criteria (cap rate, cash flow) and send listings that meet them.
  • If they used optimistic rents, offer rent comparables, which builds credibility.
  • Introduce lenders familiar with investment property and DSCR loans.

Your numbers on the Oak Street duplex came out at about a 6.4% cap rate with 25% down. I have two other small multifamily properties coming up near that cap rate. Want me to send the rent rolls?

Reading the results

What each result means for your follow-up

The same figures your visitor sees arrive in your lead record. Here's how to read the ones that matter.

Cap Rate
Annual net operating income divided by the price, ignoring financing. Investors use it to compare properties and markets on equal terms.
Cash-on-Cash Return
Annual cash flow divided by the total cash invested (down payment, closing and rehab). It shows what the investor's own money earns with financing.
Monthly Cash Flow
Rent minus vacancy, expenses and the mortgage payment. Negative cash flow is a red flag for most investors, unless they're buying for appreciation.
What can go wrong

Mistakes that cost agents the lead

Optimistic rent assumptions

Pre-filling asking rents rather than achieved rents inflates every result. Use current leases or conservative comparables, and say which you used.

Leaving out reserves and management

Expenses should include taxes, insurance, maintenance, capital reserves and property management, even if the investor self-manages. Thin expense assumptions make deals look better than they are.

Presenting returns as guaranteed

These are projections based on assumptions. Avoid 'guaranteed cash flow' or similar claims. Investors expect realism, and so do regulators.

Definitions shown in the calculator (10)
Cash flow
What is left each month after collecting rent and paying operating expenses and the mortgage payment. This calculator computes it as rent reduced for vacancy, minus monthly expenses, minus principal and interest. Positive cash flow means the property pays for itself; negative means you add money every month to hold it.
Cash-on-cash return
Annual cash flow divided by the total cash you put in, expressed as a percentage. It measures the yearly cash yield on your own money, after financing. It ignores appreciation, principal paydown and taxes, so it understates total return on a leveraged property and says nothing about risk.
Capitalization rate (cap rate)
Net operating income divided by the purchase price. Because it leaves out financing, it compares properties on an unleveraged basis: what the property yields as if bought with all cash. A higher cap rate means more income per dollar of price, often alongside higher risk or a weaker location.
Net operating income (NOI)
Annual rental income after vacancy, minus operating expenses such as property tax, insurance, HOA, maintenance and management. It excludes the mortgage payment, depreciation and income tax. NOI is the income the property itself produces and is the numerator of the cap rate.
Vacancy rate
The share of the year the property is expected to sit empty or rent goes uncollected. This calculator reduces gross rent by this percentage — 5% vacancy on $2,600 rent leaves $2,470 of effective income. Using zero vacancy is optimistic; turnover between tenants alone usually costs some weeks of rent.
Operating expenses
The recurring costs of owning and running the rental: property tax, insurance, HOA dues, repairs and maintenance, property management, and any utilities the owner pays. Enter them monthly, without the mortgage payment. Underestimating them, especially maintenance and capital repairs, is a common reason projected returns are not met.
Total cash invested
The cash you put into the deal up front: down payment plus closing and rehab costs. It is the denominator of the cash-on-cash return. Cash reserves set aside for repairs or vacancies are not included here, though some investors add them to be conservative.
Principal and interest (P&I)
The part of the mortgage payment that repays the loan balance and pays interest, based on the loan amount, rate and term. It excludes taxes and insurance, which this calculator counts under operating expenses. Investment property loans often carry higher rates than loans on a primary residence.
Down payment
The cash paid toward the purchase price at closing; the rest is financed. A larger down payment lowers the loan and the monthly P&I, which raises cash flow, but it also increases the cash invested, which can lower the cash-on-cash return. Lenders generally require more down on investment properties than on a home you live in.
Closing and rehab costs
Cash paid at closing for lender fees, title, appraisal and similar charges, plus any repairs needed before the property can be rented. This calculator adds them to the down payment as cash invested. They do not change the loan amount, but they reduce the cash-on-cash return.

Questions by topic

Investment Property ROI Calculator: questions agents ask

How is cap rate calculated?

Cap rate = annual net operating income ÷ purchase price. NOI is effective rent (after vacancy) minus operating expenses, excluding mortgage payments. It's a financing-neutral measure.

How is cash-on-cash return calculated?

Annual cash flow (NOI minus annual mortgage payments) divided by total cash invested: down payment plus closing and rehab costs. It changes with financing, unlike cap rate.

Does it include appreciation or tax benefits?

No. It focuses on operating returns. Appreciation, depreciation and tax treatment depend on the investor's situation and should be discussed with their tax adviser.
