Sending calculator leads into HighLevel: fields, tags and a speed-to-lead workflow

Send calculator leads into HighLevel by inbound webhook: map fields, tag by calculator, build a consent-aware speed-to-lead workflow, and test it.

Key takeaways

  • HighLevel's inbound webhook trigger receives calculator leads directly.
  • Submit a test lead first so HighLevel can see the fields.
  • Map inputs and results you'll use into custom fields.
  • Tag by calculator so buyer, seller and investor leads get different follow-up.
  • Only automate texts with consent that covers them.

If you run your business in HighLevel, a lead in your inbox is a lead you’ll have to copy somewhere. A webhook removes that step: every calculator submission arrives in HighLevel as a contact with the visitor’s numbers, tagged and moving through your follow-up within seconds.

This guide walks through the setup with general HighLevel concepts. Exact menu labels change from time to time, so follow the current HighLevel help if a screen looks different.

How does the connection work?

When a visitor submits a calculator, CalcCapture sends a JSON message (a webhook) to a URL you provide. In HighLevel, a workflow with an inbound webhook trigger gives you that URL. When the message arrives, the workflow runs: create or update the contact, save fields, add tags and start your follow-up actions.

What the webhook contains:

PartExamples
Event and calculatorWhich calculator was used
ContactName, email, phone
SubmissionInputs (price, down payment…) and results (payment, net…)
TimingSubmitted time, new or returning contact
Attributionutm_source, utm_medium, utm_campaign, utm_term, utm_content, gclid, fbclid, msclkid, landing page, referrer, first touch

Inputs and results use each calculator’s own labels, so a seller net sheet lead carries Sale Price and Estimated Net Proceeds, while a mortgage lead carries Home Price and Monthly Payment.

Step 1: create the workflow and trigger

  1. In HighLevel, create a new workflow from scratch.
  2. Add the Inbound Webhook trigger. HighLevel shows a unique URL. Copy it.
  3. Treat that URL like a password. Anyone who has it can send data into your workflow.

Step 2: paste the URL into CalcCapture

In your CalcCapture account, add the URL as your webhook. You can set one account-wide webhook, then override it per calculator. A common setup:

  • Mortgage, affordability and other buyer tools → buyer workflow
  • Seller net sheet → seller workflow
  • Investor tools → investor workflow

Webhooks are available on Team and Brokerage.

Step 3: send a test lead

HighLevel needs a sample to map fields. Open the calculator on a test page, run it, and submit the lead form with your own details. In the workflow trigger, fetch the sample. You should see the contact, inputs, results and UTM fields.

Step 4: create or update the contact

Add a “create or update contact” action and map:

  • Email and phone from the contact object
  • First and last name, splitting the name if needed
  • Source, such as “CalcCapture – Mortgage”, so you can report by calculator

Then create custom fields for the numbers you’ll actually use. For a buyer workflow, that might be Home Price Tested, Down Payment, Monthly Payment and Loan Type. For sellers, it might be Expected Sale Price, Mortgage Payoff and Estimated Net. Don’t map every field. Map the ones your follow-up messages and agents will reference.

Map the UTM fields too, especially utm_source and utm_campaign. They tell you which ads, posts and listings produce leads.

Step 5: tag and route

Tags drive everything that follows:

  1. By calculator: buyer-lead, seller-lead, investor-lead.
  2. By source page: for listing leads, the property address or MLS number, from the page URL.
  3. By timeline, later, once an agent has spoken to them.

If you’re a team, assignment happens here: use HighLevel’s round-robin or assignment rules, or assign listing leads to the listing agent. CalcCapture delivers the lead, and your CRM decides who calls.

Step 6: the speed-to-lead sequence

A simple, effective sequence for buyer calculator leads:

  1. Immediately (with consent): a short text referencing their numbers. “Hi [first name], it’s [agent] with [team]. You ran the payment on [address] at about [payment]. I can send two similar homes or set up a tour. Which would help more?”
  2. Immediately: an internal notification to the assigned agent with the lead’s numbers.
  3. After 10 minutes, if no reply: a task for the agent to call.
  4. Same day: an email with listings near their payment.
  5. Ongoing: move them into your buyer nurture.

For sellers, replace the first message with something about their net and an offer of recent sales near their price.

Automating texts and calls is where compliance matters most. Under the TCPA, marketing calls and texts sent with automated systems generally require prior express written consent. (The FCC’s “one-to-one” consent rule was vacated in January 2025, but the core requirements remain, and some states add their own.) Configure the consent wording on your CalcCapture lead form to cover the channels you’ll use, and add a workflow condition so automated texts only go to contacts whose consent covers texting. See our compliance guide. This isn’t legal advice, so check with your broker.

Zapier or Make instead

If your CRM isn’t HighLevel, or you want to send leads to several places, use Zapier’s “Catch Hook” trigger or Make’s custom webhook module the same way: paste the URL into CalcCapture, send a test lead, then map fields into Follow Up Boss, a Google Sheet, Slack or anything else those tools support.

Troubleshooting

SymptomLikely cause
Workflow never triggersWebhook URL not saved, or the calculator has a different per-calculator URL
Contact created without phoneThe lead form didn’t ask for phone, or mapping points to the wrong field
Duplicate contactsMatch on email and phone in HighLevel’s settings
Texts not sendingConsent condition or a missing number. Check the workflow history
No leads at allOver the plan’s contact limit (leads aren’t saved or forwarded). Check your plan

The payoff

Once it’s set up, a buyer who runs the payment on your listing at 11:44 p.m. is a tagged contact with their numbers in HighLevel at 11:44 p.m., and your agent has a specific, useful first message ready by morning, or immediately if consent allows. That’s what webhooks are for.

Questions by topic

Questions about this guide

Do I need Zapier to send calculator leads to HighLevel?

No. HighLevel's inbound webhook workflow trigger can receive the lead directly.

Which CalcCapture plans include webhooks?

Team and Brokerage.

Can different calculators start different workflows?

Yes. Set a per-calculator webhook so, for example, seller net sheet leads start a seller workflow.

How do I test without real leads?

Submit the calculator yourself on a test page. HighLevel captures the sample for mapping. Delete the test contact afterwards.
